AI Document Automation for Salesforce and SharePoint with sFiles
Follow the document lifecycle from a Salesforce upload through SharePoint storage, Microsoft AI extraction, automated field updates, and Data 360 knowledge for Agentforce.
To automate contract data entry in Salesforce, upload the agreement through sFiles to SharePoint, use Microsoft AI to extract the required values, and configure automation to validate and populate the correct Salesforce fields. Salesforce Data 360 (formerly Data Cloud) adds a connected knowledge layer: supported contract content is ingested and indexed so Agentforce can retrieve it alongside authorized customer context.
How do sFiles, AI, Data 360, and Agentforce work together?
This guide explains an AI document workflow that starts with a file uploaded from Salesforce and continues through processing, customer insights, and the next business action. It brings together sFiles, SharePoint, Microsoft AI, Power Automate, Salesforce Data 360, and Agentforce to connect the document with the people, records, and processes that depend on it.
We will follow a signed contract through that lifecycle. sFiles connects the upload to its Salesforce record and stores the working document in SharePoint. Microsoft document processing extracts information such as contract value, effective dates, renewal terms, and notice periods. Configured automation validates those results and populates the appropriate Salesforce fields.
Data 360 adds the knowledge layer. With supported content ingested and indexed, the contract can inform AI responses beyond the fields extracted from it. Configure the document’s customer association and retrieval access so Agentforce can use relevant agreement passages alongside authorized Salesforce context, such as a renewal opportunity or open service cases.
| Layer | What it contributes |
|---|---|
| sFiles + SharePoint | Connect the document to its Salesforce record and provide its storage and management workspace. |
| Microsoft AI | Read supported documents, apply OCR where needed, and extract or generate the information required by the process. |
| Power Automate + Salesforce Flow | Coordinate processing, validate results, update CRM fields, and trigger follow-up work. |
| Data 360 | Ingest and index supported document content for a configured customer knowledge and retrieval experience. |
| Agentforce | Answer questions using authorized CRM and document context, and invoke configured actions. |
For example, accepted contract dates can start a renewal task, while Agentforce helps an account manager understand the agreement’s renewal conditions. The same document can remain available to collaborators in Microsoft 365 and later follow a configured retention process.
The sections below explain both paths: turning document information into Salesforce updates and making document content useful to AI throughout the customer relationship. We will also cover the Microsoft processing options, record mapping, exception review, and access controls needed to make the workflow dependable.
How does a contract become Salesforce data and customer knowledge?
Follow the contract from its Salesforce upload through the systems that process it. The operational path updates CRM fields; the knowledge path prepares agreement content for retrieval and AI assistance.
Put the information to work
- Microsoft AI extracts values
- Automation validates and maps them
- Salesforce fields and tasks update
Connect the whole agreement
- Data 360 ingests supported content
- Configured retrieval finds the right evidence
- Agentforce combines it with CRM context
A proposed architecture. Extraction, writeback, indexing, and agent actions require configuration. The two paths can complete at different times.
Upload from the correct Salesforce record
The rep uploads through sFiles on an Account, Opportunity, Contract, or configured custom object. sFiles connects the file to its SharePoint workspace. Configure SharePoint metadata to carry the Salesforce record ID, so downstream automation has a reliable destination.
Store the working document in SharePoint
SharePoint becomes the document home, accessible through sFiles in Salesforce. Keep the source file identifier and version with the processing record so the extracted values can be traced back to the agreement that supplied them.
Read the file and extract the required information
A SharePoint event starts Power Automate. The flow retrieves the file content and invokes the selected processing model, with OCR where needed for scans. Extraction returns the fields your business has defined.
Validate the results and update Salesforce
Normalize dates, amounts, and currency. Check the record match and required fields. Accepted results update the mapped Salesforce fields through the connector; ambiguous results go to review. The connector provides record update and upsert actions.
Connect document knowledge through Data 360
In a parallel, asynchronous path, configure Data 360 to ingest supported SharePoint content, index it, and make it available to authorized retrieval. Associate the document with the relevant customer and agreement version.
Use Agentforce to answer questions and start actions
Configure Agentforce to retrieve contract evidence alongside authorized CRM context. Custom actions can invoke a Salesforce Flow or Apex to create a review task, prepare a handoff, or start another approved step.
Why is your sales rep still retyping a contract?
The signed agreement arrives. Your rep opens the PDF, finds the contract value, checks the dates, works through the renewal language, and enters everything into Salesforce. Then someone asks where the signed copy went.
If that process takes an hour in your organization, the opportunity is clear: let the rep upload the file once and let a configured workflow handle the routine work. The hour is an illustrative starting point, not a measured sFiles customer result.
Read. Find. Copy. Check.
Your rep becomes the connection between the document, the CRM, and the next person who needs the information.
Upload. Get back to selling.
Accepted information reaches the right fields. Exceptions go to a reviewer. The contract becomes usable customer knowledge.
Which Salesforce fields can the contract populate?
Begin with the values your team already enters by hand. Map them to the appropriate standard or custom fields on the actual destination object. Define what each value means before training or prompting an extraction model.
| Contract information | Salesforce destination | Validation to define |
|---|---|---|
| Effective date | Contract start date | Distinguish the effective date from the signature date. |
| Expiration date | Contract end date | Account for extensions and amendments. |
| Value and currency | Contract value and currency fields | Separate total value from annual fees and payment schedules. |
| Renewal language | Renewal type or terms field | Preserve conditions and exceptions. |
| Notice period | Notice period and calculated deadline | Verify the reference date and how days are counted. |
| Source evidence | Document reference and processing status | Retain the source item, version, and accepted results. |
For example, an accepted end date and notice period can drive a calculated deadline and a follow-up task before that deadline. That removes repeated calendar work after the initial upload.
Match by identity, not by guesswork. Use the Salesforce record ID stamped at upload, along with the SharePoint file identity. If that link is missing or conflicting, send the document to review rather than choosing a customer based only on a name.
Which Microsoft AI features belong in the workflow?
Choose the processing service around the document and the result you need. You do not need every Microsoft AI service in the same pipeline.
OCR
SharePoint OCR makes text in supported scans available to search. It helps discovery, but business field extraction and Salesforce updates still need their own processing steps.
AI Builder
Use document processing inside Power Automate to return configured fields and tables. Available field confidence scores can support your review rules.
Azure Document Intelligence
Use its APIs and prebuilt or custom models when the document extraction requirements call for a more tailored implementation.
Autofill columns
Use prompts to extract or generate library metadata, such as document type or summary. Once configured, new uploads are processed automatically. Apply validation rules appropriate to the output.
Microsoft now refers to the pay-as-you-go services previously offered under Microsoft Syntex as document processing services. Select the actual capability you need rather than treating “Syntex,” “OCR,” and “Copilot” as interchangeable.
OCR is one part of the process. For PDF and TIFF files, SharePoint indexes OCR text for search but does not expose it in the Extracted text metadata column. Do not assume that enabling SharePoint OCR gives Power Automate or Data 360 an automatically reusable text output. Validate each service’s handling of your scans; use extraction output or a supported text representation where required.
Why is Data 360 a core layer?
Updating six Salesforce fields captures six pieces of information. The rest of the agreement can still matter: service commitments, exclusions, escalation language, or a renewal condition that does not fit neatly into a picklist.
Salesforce Data 360, formerly known as Data Cloud, makes document content available to the Salesforce AI experience. It connects supported document content to the indexing and retrieval capabilities used to ground AI responses.
Its SharePoint Unstructured Documents connector ingests content into an unstructured data lake object and maps it to an unstructured data model object. A configured search index and retriever make relevant passages available for grounded AI responses.
SharePoint retains the working document. Data 360 maintains ingested content and search indexes for the Salesforce knowledge experience. Plan how updates, replacements, and deletions are reflected in that layer.
Build the customer connection deliberately. Define how the file ID, Salesforce record ID, agreement status, and source version are associated. Verify which metadata the connector exposes, and add a separate metadata mapping or stream if needed. Retrieval should select the right customer’s executed agreement and applicable amendments.
With the appropriate CRM access, retrieval, and agent configuration, the team can ask:
“What are this customer’s renewal terms, and how do they compare with the current renewal opportunity?”
“Summarize the support commitments in the agreement alongside this account’s open cases.”
These are designed experiences to implement and test, not default results from turning on the connector. Configure source references and a clear response when the available agreement does not answer the question.
Plan for ingestion timing and coverage. The connector uses batch ingestion. Its current documentation also lists file format, size, and age constraints, including skipping content last modified more than two years ago. Test long-running agreements and review skipped-file statuses before relying on the archive for answers.
What happens after the Salesforce fields are updated?
The same document can support the next team, the next decision, and the next renewal.
Work from the same location
Connect the appropriate SharePoint location to Teams so legal and operations can work with the same stored document. Channel files in Teams reside in SharePoint.
Bring knowledge into Teams
SharePoint agents can answer questions over configured, accessible sources and can be shared into Teams for document questions in the collaboration workspace.
Start the next agreement
Use accepted dates to trigger Salesforce renewal work. Where document generation is part of the process, MergeUp can create the next proposal and sFiles can store it in SharePoint.
Follow the records policy
Purview supports retention starting from events such as contract expiration. Integrate the business event with that configured policy and its disposition process.
What needs to be configured for this to work?
The promise to the rep can stay simple because the implementation handles the details. Start with one contract type, one Salesforce destination, and a small set of useful fields.
- Establish the record link. Configure sFiles folders and file metadata. Carry stable Salesforce and SharePoint identifiers throughout processing.
- Build extraction and writeback. Select the model, map outputs to fields, wait for processing results, and validate required values. Use file identity and version checks to prevent duplicate updates or event loops.
- Define the exception experience. Route uncertainty and conflicts to a named reviewer. Keep the accepted values and their source. Do not overwrite a reviewed result simply because a file was processed again.
- Configure Data 360 and Agentforce. Ingest supported content, establish customer associations, configure retrieval, and test questions against the right document versions.
- Validate access across both environments. Test who can read the file, retrieve its content, and invoke each Salesforce action.
Microsoft Copilot honors Microsoft 365 access controls. Data 360 connector application access is a separate configuration; establish and test the retrieval permissions you need rather than assuming sFiles visibility rules automatically transfer. Agent actions must also enforce the appropriate user access.
Plan licensing and capacity for the selected services. sFiles Enterprise provides advanced Flow and Apex capabilities; Microsoft processing, the premium Power Automate Salesforce connector, Data 360, and Agentforce have separate requirements. Installing sFiles alone does not deploy this complete architecture.
How much manual work is in scope?
Use your own baseline. Count the time spent finding information, entering it, checking it, and answering follow-up questions.
20 reps × 6 contracts each month × 1 hour of manual handling.
This is manual workload in scope, not a savings guarantee. Measure actual time after automation, including upload, exception review, and ongoing support.
Track accepted extraction results, exception rates, successful CRM updates, retrieval coverage, and time spent per contract. Those measures show whether the workflow is delivering the experience you designed.
The intended result: your rep uploads the agreement, Salesforce receives accepted information, and Data 360 makes the contract useful throughout the customer relationship.
Frequently asked questions
Can a contract automatically populate Salesforce fields?
Yes, with a configured workflow. Upload through sFiles to SharePoint, extract the required values with Microsoft document processing, validate the results, and use Power Automate or another integration to update the mapped Salesforce fields. Route missing or uncertain values to review.
Is OCR enough to update Salesforce from a PDF?
OCR reads text from a scan. A complete workflow also needs field extraction, record matching, validation, and Salesforce writeback. For PDF and TIFF files, SharePoint OCR indexes extracted text for search but does not expose that text in its Extracted text metadata column.
Where does Salesforce Data 360 fit?
Data 360, formerly known as Data Cloud, provides the document knowledge layer. Its SharePoint connector ingests supported content for indexing and retrieval. Configure customer associations, authorized retrieval, and Agentforce so contract content can be used alongside CRM context. Operational field updates use the separate extraction and writeback workflow described here.
Does sFiles include Microsoft AI, Data 360, or Agentforce?
These are separate products and services. sFiles connects SharePoint documents to Salesforce; Microsoft supplies the selected processing services; Data 360 and Agentforce supply Salesforce data and AI capabilities. Licensing, usage capacity, connectors, and implementation depend on the chosen architecture.
Can Agentforce answer questions about the uploaded contract?
Yes, after the supported content has been ingested, indexed, and made available through an authorized retrieval configuration. Configure the agent to identify the correct customer and agreement version, reference its sources, and say when the available evidence does not answer the question.
Are documents available to Agentforce immediately after upload?
Do not assume immediate availability. The SharePoint Unstructured Documents connector uses batch ingestion, followed by processing and indexing. Measure the refresh behavior in your environment and distinguish upload completion from readiness for AI retrieval.
Will my sales reps still need to review every contract?
The intended experience is upload and move on for documents and fields that pass the configured checks. Send low-confidence extraction, missing values, conflicting amendments, or ambiguous record matches to an exception queue. Review requirements should reflect the business significance of each field.
Can this workflow cover renewals and document retention?
Yes. Accepted contract dates can drive configured Salesforce renewal tasks and follow-up. SharePoint remains the document home, and a separate integration can send the relevant closure or expiration event into a configured Microsoft Purview event-based retention process.
